Packaging data checklist for WooCommerce

Traceable packaging reporting starts with reliable source data. Use this practical checklist for product packaging, shipping packaging and changes. Download two free example CSV files to map the information you already have.

1. Capture product packaging

Record packaging weight per material for each SKU or variation. Measure the packaging supplied with the product, not the contents or the product itself. Record the source of each weight.

Keep on record: SKU / variation; grams of paper/cardboard, plastic, glass, aluminium, ferrous metal, wood and other; measurement source; effective date.

2. Define shipping profiles

Record the packaging added for dispatch: cartons, mailers, tape and filler. One order may ship in multiple parcels. The profile should describe the packaging actually used.

Keep on record: Profile name; material weights; grams per profile; effective date; exceptions.

3. Calculate from orders, not today’s catalogue

Multiply packaging weight per unit by each order-line quantity and add shipping packaging once per shipment. Avoid counting shipping boxes or returns twice.

Keep on record: Order reference; date; quantities; destination; chosen profile version; material totals.

4. Preserve assumptions and corrections

Record the weights that applied at processing time. Later supplier changes must not silently change older totals. Keep a record of refunds and corrections.

Keep on record: Source version; event date; correction reason; original entry reference.

5. Review and export

Check missing weights, exceptions, country/year filters and quantities before using outputs in external reporting.

Keep on record: Detailed audit entries; summary by material/country/year; traceability of totals.
